Message Agency is seeking an organized, tech-savvy project manager to help wrangle our client projects.  Our project managers shepherd projects from discovery through production, collaborating with clients and internal teams to ensure project success.  They lead an agile team of developers and run ceremonies such as sprint planning and grooming sessions to keep project work organized and on track. They take initiative and ownership of project outcomes.

As part of their work, they plan and lead client-facing meetings and maintain client communications, while also ensuring our internal teams are well-informed about scope, budget, and timeline so we can make good decisions that benefit the project.  They provide critical documentation that supports project goals, including writing project briefs and user stories, requirements gathering, and setting and maintaining schedules. Finally, they have a role in quality assurance by assisting with product review and testing.

We are looking for a sharp self-starter who understands how to manage client expectations, who can collaborate closely with our development team, and who can thrive in the fast pace of an agency environment that still respects our staff’s work/life balance.  We need someone whose attention to detail is impeccable but who also understands the importance of building meaningful relationships with staff and clients.

For this role, our preference is to hire a more technical PM who has substantial experience managing website and application development projects and who can work with developers to anticipate and remediate technical challenges.  However, we are open to candidates who do not have direct technical experience but demonstrate aptitude for comprehending and managing complex technical systems.

Duties and Responsibilities

  • Serving as the agency’s main point of contact for assigned projects, liaising with clients throughout project lifecycle via regularly scheduled meetings
  • Creating, maintaining, and updating detailed project plans and schedules
  • Participating in discovery meetings and collaborating with design and development teams to resolve project challenges and ensure client satisfaction
  • Creating meeting agendae and writing meeting notes; translating meeting outcomes into project tasks or documentation
  • Managing team resource allocation
  • Anticipating, analyzing, and mitigating project risk
  • Overseeing and anticipating changes to scope, proactively communicating to internal teams and clients about scope management
  • Developing and managing project budget reports
  • Conducting requirements gathering and feature definition
  • Developing end-user documentation
  • Reviewing products and performing quality assurance testing
  • Running grooming, sprint planning, and other agile ceremonies
  • Collaborating with principal and other project managers to continually improve practices, document process, and identify efficiencies
  • Other project management-based administrative duties as assigned.

Required Skills and Experience 

A candidate should have:

  • A bachelor’s degree, preferably but not necessarily in digital design or business.
  • At least 3 years of experience in digital or software project management.
  • Experience managing projects involving content management systems, preferably open source CMSs.
  • Experience with digital project management tools such as JIRA / Confluence, BaseCamp, Trello, etc.
  • Demonstrated experience managing project scopes, budgets, and schedules
  • Understanding of agile principles and experience managing agile ceremonies.
  • Excellent written and verbal communication skills
  • Excellent interpersonal and analytical skills
  • Excellent attention to detail and follow-through
  • Ability to proactively assess situations, develop approaches for resolving challenges or removing barriers, and take initiative or escalate an issue rather than waiting for instruction
  • Experience managing long-term, complex, or highly technical projects

Ideal Skills and Experience

An ideal candidate would have:

  1. Demonstrated experience working or volunteering with nonprofits, universities, foundations, or government
  2. Experience with CRMs and CRM integrations, Salesforce, or Drupal
  3. Scrum master or PMP certification
  4. Knowledge of Google Analytics and/or SEO
  5. Experience as a developer or technical architect
  6. Experience running discovery sessions or conducting user research
